Volunteer Info and Meet Schedule

Good morning, Hammerheads: 

Thank you so much for volunteering for Monday's meet. We cannot run a meet without you so know how much you are appreciated!  Attached is a description of each job in case this if your first meet. 

Meet schedule: 

5:00 Swimmer Arrival & check in at age group wrangler tent

5:00 – 5:20 Hammerhead Warmups

5:20 – 5:40 Memorial Bend Warmups

5:40 Judges, Timers, Scorekeeper, Announcer meeting with Meet Director at the Starter Tent

5:45 Half Lapper Event Begins (Memorial Bend only)

5:55 Deck Volunteers report to deck assignments; Wranglers to have age 11 & Up 100 IM and 6&U relays behind swim lanes

6:00 National Anthem and Swim Meet begins!

VOLUNTEERS: Please check your shift start time and double check what you are signed up for.  The check-in table will be located just outside the pool gates near concessions. There you will check in and gather supplies for your position (ribbons, flags, heat sheets/sharpies, etc.).

  • Set Up crew - See map attached. We’ll see you around 4pm at the pool. Let's start with putting tarps down in the grassy area so that is ready when swimmers start arriving!
  • Timers/judges including second shift deck volunteers - attend the deck meeting at 5:40pm if possible. Please be near the deck before event 21. We will switch shifts after all the backstrokes.
  • Concessions Volunteers - check-in at the volunteer table then go the the concession area.
  • General Volunteers - Please check in with the volunteer coordinator frequently during your shift. You will be sent to fill in any needs that arise.
  • All others - check-in at the volunteer table
  • Tear Down Crew - Please check in as some of the younger age groups begin to leave. Tarps can be wiped clean and clean up can begin.
  • Wranglers- Check-in by 5pm with the volunteer coordinator and gather supplies.
  • Wrangler Responsibilities: (Please read attachment!)
    • label ALL swimmers in your designated age group with Sharpie (parents, feel free to do this at home ahead of time)
    • Line up ALL swimmers and ensure the swimmers get their designated lane three heats prior to the swimmers race.
    • Monitor the “bull pen” wranglers area for your age group
    • Ensure swimmers clean-up tarp area
    • Prior to departure: pull up tarp stakes and return age group tarps to the volunteer bin (please wipe/shake off any messes if possible). Clorox wipes are on the volunteer table if you need some at the end of the meet!
